Job Title: Weatherization Administrative Assistant

Reports To: Weatherization Administrative Manager

Position Overview

An administrative non-exempt position responsible for assisting with all aspects of the Weatherization job production for three HRWC offices. Primary responsibilities include making sure that the process from client intake to job close out is accurate, complete and adheres to all State Weatherization Program guidelines. Other responsibilities include assisting with purchasing, procurement and inventory.

Major Responsibilities

• Perform client outreach, education, and application processing as part of a cross-department intake team.
• Manage waitlist and track work in progress
• Create client files and ensure all necessary forms are complete and accurate
• Schedule audits, work, and inspections
• Assist with purchasing, receiving and inventory
• Code and process vendor invoices
• Assist with close out and reporting completed jobs in QuickBooks, Salesforce, and CounselorMax
• Attend program meetings, in-house or at the state level, as needed
• Ability to communicate effectively with others
• Strong people skills to manage client expectations
• Good organizational and time management skills
• Working knowledge of MS Office, Adobe, and QuickBooks software
• Ability to learn new software applications

• Knowledge of residential construction, site built and mobile homes helpful
• Basic understanding of budget concepts
• Ability to work independently with minimal supervision
• Ability to learn new skills and tasks quickly
• Strong sense of personal responsibility and work ethic
• Other duties as assigned

Knowledge, Skills, and Abilities

• Occasional travel within our service areas may be required.
• Valid driver’s license required
• Pre-employment background check required.

Training, Experience, and Education

While there are no formal training or education requirements, demonstration of the skills necessary in the position description is required.

Salary and Benefits

Compensation: Starting at $19.00-$21.00/hour depending on experience. Full time position (40 hours/week), overtime pay at time and a half, non-exempt.
